How do I send a fax?
NOTE: Faxes can only be sent/received from authorized shared mailboxes. You will not be able to send from your individual SPPS email address. From: Reflects the shared fax mailbox. If you do not see the From line you will need to add it. You should be able to select Options than the Show From radio box. More details can be found here: https://spps.freshservice.com/support/solutions/articles/19000082710 Make sure the From line says the shared mailbox address or it will fail to send your fax. To: Must include a 1 plus the 10-digit fax number and @efaxsendsecure.com for every fax you send (e.g. 16515551212) CC: Optionally, you can add additional fax numbers for additional fax recipients. Subject: Any text in the subject field will be added to your cover page in the Re section. See default cover page. Anything in the body of the email will be on the comment section of the cover page. Attach: You can attach various files in various formats to fax to your recipients. Many file formats can be attached and faxed. NOTE: Faxes are sent/received in the order they are attached to the email. You can send your fax immediately. You can schedule your fax to be sent at a later time.

How to Organize Faxes in the Shared Mailbox
From within your fax shared mailbox, Right-click Inbox > left-click Create new subfolder Type in a name Click ok Repeat steps [2-4] to add additional folders Click emails and drag them to the folder you want them in. See example below:

How to access your Shared Fax Mailbox in Outlook Online
NOTE: Faxes can only be sent/received from authorized shared mailboxes. You will not be able to send from your individual SPPS email address. Visit: https://office.com from your web browser. Sign in with your @spps.org email and Active Directory password. In the top right corner, left-click your initials or image. See intial T in the example below. Left-click Open another mailbox. Type your shared mailbox email address. In this example, test is part of the name. Select the email address. Click Open.

How to Access Your Shared Fax Mailbox in Outlook 2019
NOTE: Faxes can only be sent/received from authorized shared mailboxes. You will not be able to send from your individual SPPS email address. Open Outlook 2019 Scroll down and look at your left pane. Any shared fax mailboxes you have access to will appear. NOTE: The shared fax mailboxes listed here were created as examples are no real faxes are displayed.

How to Customize a Fax Cover Page
What does the default cover page look like? Default cover page. How do I customize my cover page? Option 01: Default Attach a cover page styled Word doc as your first doc in your fax transmission and your recipient(s) will see your cover page. In this scenario, your recipient(s) will receive the basic cover page and your custom cover page. Option 02: Please create a service request at https://servicedesk.spps.org and attach your desired cover page. In this scenario, your cloud fax account will have the custom cover page applied your faxes will only show your custom cover page.

How do I check the status of my faxes?
You will see the status of your faxes from your shared fax mailbox Inbox. See sample received fax below: Subject: The subject includes the sender fax number and the number of pages faxed. From: Includes EFax email and you, the recipient. Your fax(es) will be be received as a single .PDF document containing all of the faxed files in the order they were sent. The date and time the fax was received. An additional confirmation for the number of documents faxed to you, time the faxes were received. A reference number is generated.

Slow Faxing
Cloud Fax Speed Cloud Fax send receipts on average can be up to 1 minute to receive. Cloud Fax recipients on average receive faxes between 1.5 to 2 minutes.

My department wants to request additional fax numbers for specific teams.

Will my current fax devices work in the new system?
Faxing services on Ricoh MFDs/copiers will no longer be available. User can continue to use the scan to email services. Standalone fax machines will not work in the new system and will no longer be needed. Common standalone fax machines include any of the Intellifax models. See Intellifax example below:
